TERMS AND CONDITIONS OF THE ELECTRONIC INVOICING

  1. You (the company) have requested to receive daily, weekly, and or monthly invoices and/or monthly statements electronically through email rather than by United States Postal Service “USPS” mail by agreeing to the terms and conditions “TAC” of this agreement.
  2. The company understands and acknowledges that Estes Express Lines “Estes” will utilize commercially available tools to make best effort to minimize the risk that the email being sent to the company will contain any virus, Trojan Horse, worms, disabling programming, or other such items (“Virus”) that may threaten, infect, damage or disable any of the company’s devices. The company agrees to hold harmless Estes and affiliates for: any claim, loss, expense, liability or damage that may arise from electronic delivery; and, any data delayed, lost or intercepted by, or otherwise coming into the possession of any unintended third party, unless claim, loss, expense or damage is caused solely by Estes’ gross negligence or willful misconduct.
  3. The company agrees to notify Estes of any changes in your email address information necessary for you to receive invoicing and/or statements.
  4. The company may stop participating in electronic invoicing and/or statements at any time by contacting Estes’ Customer Service. Your request will be effective within 7 business days of when Estes processes the request. If your use of the electronic invoicing and/or statements ends, you will revert to receiving your printed bill in the USPS mail. The responsibilities and obligations of the TAC continue after it is terminated.
  5. Estes reserves the right to stop your use of the electronic invoicing and/or statements for any reason whatsoever, including, without limitation, if:
    • You provide incorrect information during the registration process;
    • Your e-mail address becomes invalid;
    • You become insolvent or file bankruptcy;
    • State or Federal laws or regulations require Estes to change the Service;
    • You violate the TAC; or
    • Estes discontinues the Service.
  6. Estes may change the TAC from time to time. When Estes changes the TAC, Estes will provide you a notice of the change via e-mail. If you continue to use electronic invoicing and/or statements after being notified of the changes, you have agreed to the changes in the TAC.
  7. This Agreement shall be governed by, and construed in accordance with, the laws of the Commonwealth of Virginia, City of Richmond without regard to its conflicts of laws provisions.
  8. The company must complete this enrollment form to receive electronic invoices and/or statements. By completing this enrollment form, you agree you are authorized by the company to agree to these TAC on behalf of the company. If you do not have such authority, or if you do not agree with these Terms, you must not accept these Terms and may not use the Service.

Frequently Asked Questions (FAQs)

  1. Q: From what email address are my invoices sent?

    A: Your invoice will be sent to you from Estes@billtrust.com. Be sure to add this address to your safe sender’s list to ensure your invoice arrives promptly and is not sent to your junk email folder or unintentionally blocked by your company’s SPAM filter.

  2. Q: What will be the subject line of the email?

    A: The subject line for invoices received via email is as follows: “Your invoices from Estes Express Lines are attached.”

  3. Q: Who should I contact if I have questions about invoices not received?

    A: Questions about billing issues should be directed to your Estes payment services representative or account manager. You can also email your concerns to invoicing@estes-express.com, or call 804–353–1900, Ext. 2533.

  4. Q: What file types for digital invoices are available?

    A: Currently, a .pdf is the only file type available.

  5. Q: What documents can be included with my email?

    A: The following documents are available for inclusion: Bill of Lading and Delivery Receipt.
